Never lose a charter day to an expired certificate.
Every vessel and crew certificate in one place, including the ones your crew should hold and don’t. Reminders well before anything lapses. A link you can send the charterer before their audit.

A lapsed certificate is never just paperwork.
The day rate stops
A charterer can put the vessel off-hire until the certificate is renewed. On a small fleet, a few days off-hire can take the month’s margin.
It goes on your record
A lapse found in a charterer inspection or vetting audit becomes a finding, and findings follow you into the next tender.
Crew can’t go offshore
A crew member with an expired offshore survival course or medical can’t be sent out. Usually you find out at crew change.

Four things, done well.
Drop in the folder you already have. It reads the dates for you.
A whole folder or zip of PDFs and scans at once. AI reads each certificate's name, number, issuer and dates, matches it to the crew member or vessel, and spots duplicates and renewals. Someone on your team approves them before they change anything, so a bad scan never becomes a wrong expiry date.
Crew and vessel lists come in from a spreadsheet (CSV). Each certificate is also checked against the crew record and the rest of your fleet, and anything worth a second look, such as dates that don't add up or a number someone else holds, is flagged before you approve it.
Reminders in your inbox, long before the surveyor is booked out.
You and your superintendent hear about it 90, 30 and 7 days before anything expires, by email and in the app. Once the new certificate is uploaded, the reminders stop.
See which crew are missing a certificate before crew change.
Set the certificates each rank must hold. Each vessel’s Compliance tab checks the crew on board against that list and shows what is missing, what has expired and what expires in the next 30 days.
- Start from an STCW baseline for each rank, then add what your work needs, such as BOSIET or HUET
- One row per crew member, one column per required certificate; show only the crew with gaps
- Assigning someone who lacks a required certificate shows a warning. You can still assign them
- A certificate waiting for review doesn’t count until someone approves it
- Need a crew matrix for the charterer? Export an OCIMF-style Excel matrix of the crew on board
The list is yours to set. Confirm what each rank needs with your flag state, class and charterers.

Send the charterer a link, not a 200-page PDF.
When the marine assurance team asks for your certificates, they get one page with every vessel and crew certificate, its status and the document itself. Always the current version.
- Protected by a password you set; it stops working when you say so
- You see who opened it and when
- Find the gaps first: expired and due items sit at the top
- Before an inspection, see what will be missing or expire over the voyage, then make one PDF pack for the inspector
- Need a file instead? Export the whole vessel in one go

Made for the boats working these waters.
If you run crew boats out of Kemaman, supply runs from Labuan or an AHTS on a Sarawak charter, it’s built around your paperwork and your charterers.
- 01
Start with one boat
Load one vessel and its crew. Add the rest once you’ve seen it work.
- 02
No IT department needed
Runs in the browser on any laptop or phone. Nothing to install on board.
- 03
One record for the whole team
Office, superintendent and master see the same dates. Every change shows who made it.
- 04
Your documents stay yours
Export every certificate and record whenever you want.
The paperwork charterers actually check.

What operators ask us.
Does it read Malaysian, Brunei and Singapore flag certificates?
It reads the text on any certificate, including scanned copies, and pulls out the number, issuer and dates. Nothing counts until someone on your team has checked those fields.
Who gets the reminders?
You choose who on your team gets reminder emails, and you can pause reminders for a single certificate while it’s with the surveyor.
Who can see our documents?
Only the people you invite. A charterer sees a vessel only through a share link you create, and you can switch that link off at any time.
Where is our data and who processes it?
Nakhoda runs on established cloud providers, each bound by a data processing agreement, with your data encrypted in transit and at rest. A person on your team approves anything the AI reads before it changes a record. Security and data handling
How long does it take to set up?
Start with one vessel: add its particulars and crew, drop in its folder of certificates, confirm what was read. A whole fleet's folders can go in at once. We load your first vessel for you.
How accurate is the reading?
Each field shows how confident the AI is, and someone on your team approves it before it counts. Every import shows how often its matches and fields were right, so you can judge it on your own documents.
How much does it cost?
It depends on how many vessels and crew you run. Message us on WhatsApp with your fleet size and we’ll give you a straight answer.
Tell us how many boats you run. We’ll show you your fleet in Nakhoda.
No forms, no sales deck. Send your fleet size and the certificate that worries you most.
